Kai-Zen Fitness Health & Wellness ("Kai-Zen," "we," "us") is operated by Kaizen Fitness Health and Wellness LLC at 274 State St, Hackensack, NJ 07601. This policy explains what personal information we collect, how we use it, and the choices you have. It covers our website, our class booking and client app, our social media ads and lead forms, and our phone, text and email communications.
What we collect
Contact details you give us: name, email address, phone number.
What you tell us when you inquire or sign up: your fitness goals, the offer you asked about, your preferred time to talk, and your answers on forms and waivers.
Health and safety information you choose to share with us (for example on a health questionnaire), used only so your coaches can train you safely.
Booking and attendance records: classes and sessions you book, visits, and purchases.
Payment information: card payments are handled by our payment processors. We do not store full card numbers.
Messages: records of calls, texts and emails between you and us.
Photos and video, only where you have agreed.
Technical information from our website and ads, such as device and browser type, pages viewed, and advertising identifiers (for example from Meta's advertising tools and cookies).
Information from Meta (Facebook and Instagram) when you submit one of our lead forms.
How we use it
To answer your inquiry, call or text you back, and set up your first class or program.
To run our studio: scheduling, billing, reminders, attendance and account management.
To keep you safe and coach you well.
To send you offers, news and updates, only where you have agreed or the law allows. You can opt out at any time.
To improve our services and measure whether our advertising works.
To meet legal, tax and insurance obligations and to protect our business and members.
Who we share it with
We share information only with companies that help us run the studio, under their own privacy terms: our studio management and booking software, payment processors, our customer messaging and CRM software (GoHighLevel), our email and website providers (such as Squarespace), advertising and analytics providers (such as Meta and Google), and automation tools that connect these systems. We may also share information where the law requires, to protect safety or rights, or in a sale or transfer of the business.
We do not sell your personal information. We do not share your phone number or text-message opt-in information with any third party or affiliate for their marketing or promotional purposes.
Text messages and calls
If you give us your phone number, we may call or text you about your inquiry, your classes and our offers, as described in our Text Message Terms. Message frequency varies and message and data rates may apply. Reply STOP to any text to opt out. Consent to marketing texts is not a condition of buying anything from us.
Your choices
Reply STOP to texts, or use the unsubscribe link in emails, to opt out of that channel.
Email us to ask what information we hold about you, to correct it, or to ask us to delete it. We will respond as the law requires. Some information we must keep for tax, insurance or safety reasons.
You can limit advertising cookies in your browser settings and in your Meta and Google ad preferences.
Children and teens
Some of our events and programs are open to young people aged 12 to 17 when a parent or legal guardian signs them up. Accounts for anyone under 18 are created and managed by a parent or legal guardian, who also signs our waiver for them and receives the account messages. We do not knowingly collect personal information directly from children under 13. A parent or guardian can ask us at any time what information we hold about their child, correct it, or ask us to delete it. If you think a child under 13 has given us information without a parent, email Clientsuccess@kaizenfhw.com and we will delete it.
Security and retention
We use reasonable safeguards, but no system is perfectly secure. We keep information only as long as we need it for the purposes above or as the law requires.
Changes
We may update this policy. The date at the top shows the latest version.
